ITEA Contribution fee 2025

The ITEA Office is responsible for the implementation and day-to-day management of the Eureka Cluster ITEA and its projects. It offers several services to project participants and in exchange a contribution fee applies.

Services provided by the ITEA Office and ITEA Bodies

The ITEA Office provides amongst others the following services:

• Represent ITEA towards and negotiate with Public Authorities
• Launch and implement ITEA bottom-up Calls.
• Organise the ITEA Project Outline Preparations Days event for each bottom-up Call including online preparation sessions upfront, like a preparation session, online pitch sessions and. for each participating country there is a dedicated online session to present the national funding options.
  A separate fee is applicable for the onsite event. This onsite event also includes a project exhibition where running and recently finished projects can promote their progress so far.
• Advise project participants on how to apply, explaining the rules, how to handle the ITEA Community website etc.
• Organise proposal and project evaluations by the ITEA Steering Group.
• Provide dedicated mentoring and coaching by reviewers and mentors to all running projects.
• Organise Project reviews and review project progress through reports on a regular basis to support the consortia in getting the most out of their project participation.
• Enable an easy and flexible change request process and handling.
• Provide Communications support - delivering project leaflets, news items, success and impact stories - promoting the projects, its organisations and its contacts.

ITEA contribution fee

According to Article VII.1 of the ITEA 4 Frame Agreement, all costs covered by the approved ITEA budget will be borne by all ITEA partners. The ITEA Contribution Rules describe the detailed ITEA contribution rules, which are based on the eligible planned partner costs as defined in their national funding contract. A summary with the contribution fee can be found below.

• For ITEA Calls up to ITEA Call 2024, the ITEA contribution fee due per partner is 1.5 % of the 'Contracted costs' for that partner.
  For ITEA Calls from ITEA Call 2025, the ITEA contribution fee is fixed for the lifetime of the project. For ITEA Call 2025 projects, this percentage is fixed at 1.5% of the 'Contracted costs' for that partner.
• The invoice payment term is 30 days.
• Exempted from contribution based on 'Contracted costs' are:
  • partners for whom public funding have been rejected.
  • partners that decided to participate at their own costs without receiving public funding for 2026.

Declaration of Acceptance for ITEA project participants

To provide you with the services as described below, ITEA requests that project participants who actually receive funding to pay a contribution fee. All project participants in ITEA projects will have to sign and submit a project-specific Declaration of Acceptance (DoA) before submitting the Full Project Proposal (FPP). The DoA can be downloaded and uploaded via the partner page of the project on the ITEA Community website, or with DocuSign following the steps at the same page.

Please note that this will be required for every project that a partner participates in.
